The CRM dashboard in the Partner Portal is where you work each customer record through your sales process — adding new contacts, moving them between stages, reassigning them to employees, and sending payment links when a customer is ready to subscribe. This article covers the board and list views, what each card represents, how moves are handled and refused, and how to create or assign a record.
Open the customer dashboard
From the Partner Portal sidebar, open Dashboard.
A view toggle in the top-right corner switches between Kanban and List. The kanban is the day-to-day default — it shows every record in its current stage column with drag-and-drop between stages. The list is best for scanning a flat view, running a quick search, or comparing records across stages side-by-side.
The kanban view
Each stage of the pipeline is a column, with the four side states pinned to the left of the funnel. The board scrolls horizontally if the stages do not fit on screen; a board navigator mini map gives you a compressed overview and lets you jump across a wide board without scrolling through it.
An empty column reads No organizations at this stage.
Column headers
Each stage column header carries four things:
The stage name, with a ? help icon — hover it for a one-line description of what the stage means.
A red count — records that have crossed the critical threshold for this stage.
A yellow count — records approaching that threshold (the risk zone).
A stage summary row — Lead #, Lead Value, and Expansion totals for everything currently in the column.
Start your day from the red counts and clear them first, then the yellow.
A record turns yellow or red for one of two reasons:
Time in stage. Each stage has a configurable warning duration and critical duration. Past the warning duration the record turns yellow; past the critical duration, red.
Threshold date overrun. Some stages carry a date field that acts as a deadline — for example, Demo Date on Demo Scheduled. The record turns yellow as the deadline approaches and red after it passes without the record moving forward.
What a card shows
Header: organization name, the assignee's initials avatar (hover for their name), and a three-dot actions menu.
Body: stacked metric rows — IDN (click to copy), Full Name (click to copy), Subscription (or a Payment link button when the customer has no active subscription), Lead Value, Expansion Value, Sessions #, and Agent Created. A Demo Date row appears only while the record sits in Demo Scheduled. When the customer's AI Employee is still on a free trial, a red Temporary Agent label appears under Agent Created.
Footer: a calendar icon that opens the meeting-booking flow, a headphone icon with the session count, and a days-in-stage badge (for example, 67 days) coloured to match the record's priority.
Empty values render as Not provided rather than blank.
Click anywhere on the card body to open the Pipeline record details drawer.
Card actions menu
The three-dot menu on a card offers:
Payment link — opens the copy-payment-link modal. Only shown when there is no subscription.
Unlink Agent — detaches the customer's AI Employee from the record.
Schedule a Meeting — opens the meeting-booking flow for this customer.
Open Portal — opens the customer's own Portal.
Open Builder — opens the customer's agent in Builder.
Important: Unlinking an agent cannot be undone. Once it is unlinked you have to re-associate it with the Link Agent button and the agent's IDN.
The list view
Switch to List to see every record across every stage in a single scrollable table. Columns (left to right):

Use the Columns control in the toolbar to change which stages the board shows.
Search, sort, and filter
A toolbar runs across the top of the dashboard: Search, Sort, Filter, Columns, then the view toggle.
Search matches records by organization name or IDN. The field expands when you focus it and debounces as you type, so results settle a moment after you stop.
Sort offers four fields, each with an ascending/descending toggle:
Customer Created
Last Updated
Lead Value
Expansion Value
The current selection is shown on hover as Current sort: {field}, {direction}. The sort applies to both the kanban and list views.
Filter opens a Filters panel where you can narrow visible records by:
Organization Name, Primary Contact Name, Phone #, and Email — free text.
Priority — Critical or Warning.
Assigned — any employee, or Unassigned.
Apply them with Apply Filter, or reset with Clear all. Once filters are active the toolbar button shows a count — Filter: 2 — so you can tell at a glance that you are looking at a subset.
Choose which stages appear
The Columns button opens the Manage Stages panel — Choose which workflow stages appear on the board. Each of the 12 stages has a toggle. Switch off the stages your team does not use and the board narrows to what is left.
This is a display setting for your board. Hiding a stage does not delete it or move the records in it.
Add a customer record
The Create New Contact button sits at the top-right of the dashboard. It is a split button: the main action creates a brand-new contact, and the dropdown beside it offers Link Existing Contact.
Create a new contact
Click Create New Contact. A Create Contact drawer opens from the right.
Pick the Stage the record should start in. It defaults to New Lead.
Fill in the contact fields. Contact Full Name, Contact Email, and Contact Phone are all required. The phone field carries a country selector.
Fill in the organization fields. Organization Name and Organization Website are both required.
Optionally set Lead Value and Expansion Value.
Click Create contact.
Link an existing contact
If the customer already exists on the platform, use Link Existing Contact instead, enter the agent's IDN, and click Link. This attaches the existing customer to a pipeline record rather than creating a duplicate.
Move a record between stages
There are three ways to move a record:
Drag the card from its current column to the target column on the kanban.
Use the Stage dropdown on a list row.
Use the stage pill in the record drawer's header.
The card moves immediately, then the platform validates the move. If validation fails or you cancel out of a dialog, the card returns to where it was.
What the CRM asks for on the way
Some moves open a dialog before they commit:
Moving into a side state (New Lead, On Hold, At Risk, Lost) opens a status dialog asking for a Reason from that stage's list, an optional Comment, and an optional Next contact date. Closing the dialog cancels the move.
Moving out of On Hold, At Risk, or Lost into the funnel opens a comment dialog so you can record what changed. Closing it cancels the move.
Moving between two process stages validates the stage you are leaving. If that stage still has required fields empty, the move stops, the record drawer opens on that stage, and the missing fields are flagged so you can fill them in.
When a move is refused
Some moves are rejected outright and the card simply returns to its column:
The record is read-only for you. See CRM overview for the three reasons a record can be locked.
The move is backward between process stages. The funnel is forward-only.
Others are refused by the platform after the fact — no payment attached for Implementation or later, no assignee on a process stage, a required document missing, or no eligible assignee for the target stage. CRM overview lists all five blockers.
Side states bypass the forward-only check entirely. You can move a record into or out of one from anywhere — for example, from Implementation directly to Lost when a customer cancels mid-build.
Assignees on stage moves
When a move lands, the platform handles the assignee for you:
If you have access to the target stage, the record is assigned to you automatically.
If you do not have access to that stage, the assignee modal opens so you can pick someone who does.
Change a record's assignee
Click the assignee avatar on a card, or the Assignee cell in the list, to open the Assign Employee modal. It has two tabs:
Your organization — employees at your partner organization.
Partner organization — employees at another partner organization, selected from a partner picker.
Search by employee name, IDN, or email. You can also scope the assignment to specific Stages, or use Assign on me to take the record yourself.
If the person you need is not there yet, Add Employee invites them by email — select the stages the invite should cover and send it.
Share a payment link
When a customer is ready to attach a payment method, you can send them a checkout link directly from the CRM.
Click Payment link — on the card, in the card's actions menu, or in the record drawer header. The button only appears when the customer has no active subscription.
The Copy payment link modal opens, titled with the customer's IDN and name, and lists the subscription plans available to that customer.
Click the copy action on the plan you want. The checkout URL goes to your clipboard.
Paste the link into your customer's email, SMS, or chat.
If no plans are configured for the customer, the modal says so rather than showing an empty grid.
When the customer follows the link and attaches payment, the platform automatically promotes their temporary AI Employee into a permanent one (see CRM overview). The record itself does not move stages automatically — move it to Payment Attached or Implementation once payment lands.
The same payment link is available outside the CRM from the ⋯ menu next to any customer on the Customers list. Both paths produce the same checkout URL.
