User roles and permissions (members)

Understand the four platform roles — Owner, Technical Owner, Account Manager, and Viewer — and invite or manage team members from the Profile page.

Platform roles

Newo.ai defines specific roles to control access to the Builder and Settings /Attributes.

The Owner role is automatically assigned to the account creator's email address upon agent creation.

The Viewer role has the most limited capabilities, with no access to the Builder or Settings /Attributes.

The following table outlines the permissions for each role:

Only the Owner role can invite, edit, or remove team members.

Invite a member

  1. Go to Profile > Members.

  2. Click Invite Member.

  3. In the drawer that opens, fill in the following fields:

  4. Name — the member's full name (optional).

  5. Email — the member's email address (required).

  6. Role — select the role to assign (required). See Platform roles for details on each role.

  7. Click Invite.

Change a member's role

  1. Go to Profile > Members.

  2. Find the member in the table. Use Search by email or Filter by role to narrow results.

  3. Click the ... menu on the right of the member's row and select Edit.

  4. Update the Role field.

  5. Click Update.

🗒️ NOTE

When editing a member, the Name and Email fields are locked. Only the Role can be changed.

Remove a member

  1. Go to Profile > Members.

  2. Find the member, click the ... menu, and select Unlink.

  3. Confirm by clicking Unlink in the dialog.

🗒️ NOTE

There can only be one Owner per organization. The Owner role cannot be assigned to an additional member, and the last Owner cannot be removed.

Partner workflow roles

For partners, two specific roles are essential to ensure projects run smoothly: the Account Manager (AM) and the Technical Owner (TO).

The following table summarizes their missions:

Owns the customer relationship from the first introductory call through onboarding, launch, and ongoing optimization.

Technical Owner (TO)

Configures, tests, and iterates on the AI Employee to match the client’s exact requirements.

Account Manager responsibilities

The Account Manager leads the overall customer engagement and ensures the Technical Owner has the necessary context to build the solution.

  • Lead the customer journey : Schedule and host the discovery call, demos, follow-ups, and feedback sessions.

  • Collect business details : Gather everything the TO needs for agent creation.

  • Assign the Technical Owner : Pick the right implementation resource and brief them with a concise handover note.

  • Strategic point of contact : Decide when the TO should join calls and keep all stakeholders aligned.

🗒️ NOTE

Record the very first sales call and share the link with the TO. It provides full context and reduces back-and-forth.

Technical Owner responsibilities

The Technical Owner focuses on the implementation and configuration of the AI Employee.

  • Validate requirements : Check requirements received from the AM for technical completeness.

  • Create and configure the AI Employee : Satisfy the client’s use cases.

  • Smoke-test common scenarios : Test workflows such as order booking, large-party reservations, and escalation flows.

  • Answer technical questions : Attend customer meetings when invited by the AM to address technical queries.
